When Your B2B Tech Company Outgrows a One-Person PR Shop (And What to Do Next)
Founder & CEO, Crackle PR
Solo PR consultants and one-person shops can be excellent partners for early-stage B2B tech companies. They're often experienced professionals who left agencies to work independently, and they bring genuine expertise at a price point that works for pre-Series B budgets.
But there's a ceiling. And knowing when you've hit it—and what to do about it—can save you months of stalled momentum.
Signs You've Outgrown Your Solo PR Partner
1. Coverage Has Plateaued
A solo consultant has a finite set of media relationships. If you've been working together for 12+ months and the coverage targets and quality have stopped growing, it may be because one person can only maintain so many journalist relationships effectively.
2. You Need Multiple Disciplines
As your company grows, your communications needs expand beyond media relations. You need analyst relations, social media strategy, content creation, executive visibility programs, and GEO optimization. One person can't be excellent at all of these simultaneously.
3. You Have Multiple News Streams
Product launches, funding rounds, customer wins, executive hires, conference appearances—when you have multiple concurrent workstreams, a solo consultant becomes a bottleneck. They can only pitch one story at a time.
4. You're Expanding Geographically
Entering new markets (international or new verticals) requires additional media relationships and market knowledge. A solo consultant typically has deep knowledge in one or two areas, not five.
5. Crisis Preparedness
A solo consultant can't provide 24/7 crisis coverage. If your company has reached a stage where a data breach, leadership change, or competitive attack could make national news, you need a team that can respond immediately.
What to Do Next
Don't Default to a Big Agency
The natural next step for many companies is to hire a large traditional agency. But that often trades one problem (limited bandwidth) for another (junior staff, high overhead, slow response times). Consider your options carefully.
Look for Right-Sized Expertise
The best next step is often a mid-sized, specialized tech PR agency with an all-senior team. You get the depth and breadth of a team without the overhead and junior staff of a large agency.
Have an Honest Conversation
Many solo consultants will be honest about when a client has outgrown them—especially if the relationship is strong. Some will even help manage the transition or continue in a specialized role alongside a larger team.
Making the Transition
- Document all media relationships and coverage history
- Ensure all brand assets, messaging documents, and editorial calendars are transferred
- Allow for a 30-day overlap period so institutional knowledge is preserved
- Brief your new agency on what worked and what didn't with the previous arrangement
At Crackle PR, many of our B2B SaaS and startup clients come to us after outgrowing solo consultants. Our all-senior, remote-first model provides the team depth they need—including media relations, analyst relations, and GEO—without the bloat they don't.
Outgrowing a PR partner isn't a failure—it's a sign of success. The key is recognizing the transition point and choosing the right next partner for your growth stage.
