What should a PR agency RFP include?

Short answer: A strong PR agency RFP includes: company context and business goals, target audiences and buyer personas, current PR state and what's broken, scope of work, KPIs and success metrics, budget range, contract terms, evaluation criteria, and a timeline. Skip vanity sections; agencies that win are the ones who can answer business questions, not template-fill.

Full answer

The best PR RFPs are short, specific, and honest. They state the business problem ("we need to be the obvious choice when CFOs research procurement automation"), the audiences you sell to, the publications and AI surfaces you need to show up on, and the budget range so agencies can self-qualify out.

Include the messy stuff: what's not working today, why you're switching, internal politics, who the executive sponsor is. Agencies that ask sharp follow-up questions on those points are the ones who'll actually move the needle.

Skip exhaustive vendor questionnaires. Three or four well-chosen prompts (e.g. "show two recent campaigns where you re-positioned a B2B tech client and the resulting tier-1 coverage") tell you more than 60 yes/no boxes. When Crackle PR reads an RFP, we look for one thing: a business problem stated in the client's own voice, not a template filled by procurement — because that's the signal the buyer has actually thought about what they need PR to do. If you're still building the shortlist to send the RFP to, our technology PR agency comparison is a defensible starting point.
